1. What data can be imported?

  • Journal:
    Book entries (e.g. exports from third-party software) as csv, xls and xlsx 
    transaction data from payment providers (Paypal, stripe, twint, sumup etc) as csv 
    bank transactions as camt053, camt054 or MT940 file
  • Inventory: articles 
  • People: contacts
  • Files: Documents and files

2. Before changing: close previous bookkeeping

If you want to switch to CashCtrl, we recommend closing the previous accounting at year-end, mid-year or month-end. This is the basic way to start accounting with CashCtrl with the opening entries at a given date.

If there are outstanding accounts receivable, these can be posted to the account "1301 Income not yet received". It is important to then post the payments for these outstanding invoices to account 1301 and not to the normal debtor account.

3. Journal: Book entries / transaction data

The generic importer for Excel and CSV files makes it possible to import accounting data from third-party software. In addition, transaction data from payment service providers such as Twint, Stripe, Paypal or SumUp can be imported easily and in a time-saving manner.

4. Journal: bank transactions

Transactions from your bank account can be loaded into CashCtrl via a transaction import. Supported are camt053, camt054 and MT940 files. You can get these files from your bank on request.

5. People / Inventory: import contacts and articles data

Contacts

Contacts do not have to be typed manually, but can be conveniently loaded into CashCtrl with an importer for Excel, CSV and vcf (vCard) files. Duplicates can be recognized and entries can be complemented.

 

Articles

Your article master files do not have to be added again in CashCtrl. They can also be imported comfortably into the inventory. Excel and CSV files are supported.

6. Files: Documents and files (file upload)

Files are stored centrally in CashCtrl in the Files module. The file manager shows an overview of all files available in CashCtrl. Documents that are imported as attachments to book entries are also stored here. In the same way, documents from the previous accounting can be stored here.

7. Which data can be exported?

  • Journal: Book entries as PDF , Excel or CSV
  • Inventory: Articles as Excel or CSV
  • Orders: Single documents as PDF or multiple / all as .zip
  • People: Contacts as Excel , CSV   or vcf
  • Files: Single documents or receipts as .zip
  • Reports: account statements and reports as PDF , Excel  or CSV

Good to know: Backup and restore

Backups cannot be saved locally on your computer. CashCtrl offers a backup function, whereby the backups are stored at different server locations than the current accounting. Thus, the data is stored in different locations and therefore very safe.
