Use text templates for order documents

Tutorial: Avoid typing errors with templates for recurring texts on order documents. Accompanying texts or text positions in automatically adapt to the addressees.

1. Create text template

Open the overview via Settings Text templates. Alternatively you can open the ... menu at the selection dropdown to open the dialog. The text templates are organized in tabs, depending on where they are to be used.

  • Text at the top / Text at the bottom: for order documents / invoices at the top and bottom of the position table.
  • Email: use an accompanying text when sending documents by email directly from CashCtrl
  • Position: insert a text position in the position table of an order, e.g. as explanation of an offer.

With Add a new template is created.

2. Enter text, add placeholder

Now the text can be entered and saved. At this point we would like to point out the placeholders/ variables.

By using variables (highlighted in yellow), you can reference values and information from the document in the text. For example, to the recipient, the amount, payment deadline or custom fields. The advantage of this is that the value no longer has to be entered, but is automatically inserted by CashCtrl.

This means that the texts from the template adapt themselves, depending on who the document is sent to or by whom it was created. For example, the variable $myFirstName always takes the first name of the logged in user.

3. Select template

Select the desired text from the list. Et voilà. For an easier view the texts are marked in yellow. (If you like this design, just copy it).

In principle, almost all entered data can be displayed in texts. Custom fields are also listed as placeholders.

4. Set text templates as default for category

If you always communicate with the same text and do not need to change it all the time, it is recommended to set it as a default template.

The text template is stored in the settings of a category and is automatically selected for each new document.

This can be defined via Settings Order categories Edit category Texts.
