Text templates in payroll accounting

Payroll accounting tutorial: Create individual text templates for salary statements — with placeholders for automatic personalization and standard templates for efficient payroll runs.

1. Open text template configuration

Open Settings Payroll configuration and switch to the Text templates tab. The templates are divided into sections:

  • Text above / below: the texts displayed above and below the salary table on salary statements
  • E-Mail salary statement / salary certificate: templates for the email body when sending payroll documents directly from CashCtrl

2. Add text template

Click Add to create a new text template. The template name is for internal identification only, for example, you might distinguish between formal and informal versions or between gender-specific variants.

3. Placeholders explained

Placeholders ensure consistent and error-free messages.
They are automatically replaced with the correct data for each employee.

Use the [ ... ] Variables menu to insert placeholders from different areas.
Placeholders are defined with a preceding $ symbol (e.g. $employeeName).

4. Use text templates

In the Preview view of a salary statement, open the Texts tab.
From the dropdown menus for Text top and Text bottom, choose from the saved templates.

To define default templates for all salary statements, continue with the next section.

5. Set default text templates

Switch to the Salary templates tab. Here, you can define which text templates are used by default in different parts of the payroll module.

You can also set the email subject for sending salary statements or salary certificates. It is recommended not to change the placeholder $documentName, as it automatically inserts the correct document type.

We recommend defining default texts in the base template to ensure that a text is always available, even if lower-level templates do not define one.

6. Result

When sending a salary statement via Send E-Mail, CashCtrl opens the email dialog.
If a default template is set, it loads automatically. Alternatively, a different template can be selected from the dropdown.

Using the Preview option, you can check which values CashCtrl inserts for the placeholders and how the final message will appear to the employee.
