Client Management and Collaboration with Customers

The software is multi-client capable. Recording the company name, address, logo, etc. is straightforward. Within the same client, multiple locations with different logos and bank accounts are possible.

With just a few clicks, customers are invited to collaborate in their own client environment within the software. Permissions for what can be changed or viewed are assigned in detail. Everyone works in real time with the same data, eliminating the need for data transfers with customers.

Customer Master Data

Multiple addresses: For different document types in the sales module, it is possible to store various addresses, phone numbers, and email addresses.

Categories and additional fields: The customer master data can be categorized and extensively configured through an unlimited number of additional fields (freely creatable fields that are embedded in the software just like native fields).

For example, "complete tax return", "prepare financial statements", "document submission date", but also which customers have already received a gift. This completely eliminates the need for separately maintained Excel lists.


Setup accounting

Chart of Accounts, VAT

All required settings are stored in a template client. By copying this template, a new client can be created and ready to work within minutes. This way, the preferred VAT codes, chart of accounts defaults, etc. for your trustee office are configured from the very beginning.

Opening Entries

Opening entries are recorded in the first created fiscal year. If the previous year is defined as the first period, balance sheet and income statement figures can already be entered there. This means the prior year comparison is immediately available in CashCtrl.

Financial Accounting and Documents

The financial accounting is posted using the predetermined flat rate in the VAT key. Not only manually created financial accounting entries, but all postings from the sales and possibly the purchasing module.

In the sales documents, the correct VAT rate is displayed, however in the financial accounting the flat rate or lump-sum tax rate is automatically posted.

Data Entry and Importing

Excel and CSV imports simplify the creation of entries. When entries are to be repeatedly imported from an external data source, CashCtrl automatically recognizes the data source and suggests information.

Data from files can be selectively imported in the same operation according to different criteria (conditions). This is very helpful, for example, with payment service providers or point-of-sale systems.

Efficient booking

Frequently used accounts: Individual accounts in the journal can be left open as a tab. These remain open even after logging in again.

Posted entries become templates: Every created posting and collective posting automatically becomes a posting template, making the recording of entries a breeze.

Posting templates: When an entry is recorded in an open account in the journal, the selected account is automatically displayed correctly in the debit and credit columns as a posting aid with income and expenses.

Restricting posting templates: When posting in the journal of an accounting account, only those posting templates that contain this account are displayed.

Cross-year posting possible: Posting can be done in any unlocked posting period without having to switch the posting period first.

Reversing accrual entries: Accrual entries are simply copied and posted to the first day of the following period. With one click, debit and credit are swapped. The entry is then reversed with the correct accounts and amount, which reduces the error rate.

Corrections

Correcting erroneous entries: Every posting can be modified up until the corresponding period is locked. This includes purchase documents, sales documents, inventory, or payroll entries, which makes the creation and correction process for the year-end closing particularly straightforward.

Avoiding erroneous entries: Incidentally, every corrected posting is again suggested as a posting template for the next entry. This subtly and effortlessly supports the customer in making entries correctly.

Reports have links: Many evaluations and reports contain links which, for example, display the account details of the corresponding account in the journal.


Accounts Receivable, Accounts Payable and Invoices

Document types are freely selectable: Order processing is freely configurable. There are no fixed specifications here. Order confirmations, delivery notes, invoices, reminders, correspondence, cash receipts, etc. are all possible.

Invoice creation with QR code: Invoices are created directly with QR codes to simplify payments for customers.

Management of open items: The system manages open items and has automatic assignment of payments to invoices.

Payment service providers: As many payment service providers as needed can be integrated, which simplifies the posting of transactions.

Posting/Correcting Documents

All documents are automatically posted to the financial/cost accounting according to a predefined workflow (of course, self-configurable). Created documents can be opened and adjusted directly from the financial accounting by double-clicking on the entry.

Cancellations, time-consuming and confusing reclassifications are eliminated.


Reports

Predefined financial reports: Many reports such as balance sheet, income statement and cash flow are preconfigured but customizable. Reports can also be adjusted by cost center or time period and created with just a few clicks.

Export and communication: Reports can be exported as PDF or sent directly by email, ideal for client communication.

Updated data & API integration: Data is continuously updated and external data sources can be integrated via an API interface.

Display and Export of Data

Tabular displays such as journal entries, reports, sales invoices, contacts, and even custom additional fields can be saved in filters. Subsequently, almost everything can be exported as Excel, CSV, and PDF.

Automatic export of data: With Microsoft Excel, for example, it is possible to automatically retrieve or update data via the API interface. Sharing data is thus truly straightforward.


Payroll, inventory, API

Integrated payroll accounting: Creation of payroll statements and consideration of complex calculations such as withholding tax and social security contributions.

Inventory management: Recording and valuation of items to support clients with warehouse management.

REST API integration: Connection of external applications for automated data transfer and CRM integration.

My Conclusion

CashCtrl is a powerful platform and offers a flexible and user-friendly solution for client management and accounting. The software covers all important processes, from client setup to payroll and reporting.
