Where can I get the payment files?

Camt053/camt054 or MT940 can be obtained from your financial institution via online banking. Sometimes an option must be activated before the files are available.

1. upload a file

Open the import dialog in the journal Add/Import Transactions. You can upload a single camt file as well as zipped files. Then select the file and specify the target account. Confirm with Next.

2. Import window explained

The bookings are opened in a new Import Tab. This tab remains open even if you log out. So you can interrupt the import and continue later. The listed bookings are not yet imported, this will happen later. You can import all or only selected bookings.

CashCtrl marks recognized values and information in green. With each new file and each assignment the software can better assign customers, notes or regularities and automatically recognize them. If a customer transfers e.g. without mentioning the invoice number, CashCtrl can still assign the transfer with date, name, etc.

3. Control and adjust bookings

processing opens the Edit dialog. On the left are the raw data as they are contained in the bank file. On the right side are the information which are imported into CashCtrl. On the bottom left you can see how many bookings are contained in the file.

Try out which sequence is most suitable for you. It is recommended to use the description field as a starting point. It serves as a search field for all information such as business partner, order, invoice number etc.

4. Confirm bookings

When an entry is confirmed, it is highlighted in green. This can only be done manually, so the final check is up to the user. Several lines can be selected and confirmed as a whole. CashCtrl then automatically jumps to the next line and continues to the end of the list.

After correct allocation of the posting, the balance is no longer displayed in red but in black. However, it is possible that red numbers are still visible in the import window. This is because the entries in the Camt File are not always sorted by date. The important thing is that the balance matches the last entry.

Important note: The balance in the example (right column in the screenshots) is always red, because it is a Demo-camt File.

5. Import bookings

If all bookings are confirmed, they can be imported. Confirm with Import confirmed bookings. Only now are the bookings transferred to the accounting. If there are no more bookings, the tab will be closed.

It is also possible to import only single bookings from a document. Then the tab remains open and imported bookings are greyed out.

6. Find imported bookings

In the journal, imported bookings are marked with a blue dot. Payments for a document are displayed with an invoice icon and a dot. This makes imported bookings easier to identify.

A file with payment transactions can only be imported once. If a file is imported a second time, CashCtrl reports this.


Booking of a partial amount

1. Enter partial amount A

If a bank transfer consists of several invoices, it can be split up. To do this, the first partial amount is entered as for a single transfer. CashCtrl immediately displays the remaining amount below.

2. Enter partial amount B

The remaining amount is already entered in the following booking. In addition, it is indicated that now 0.00 CHF are still open. The amount can also consist of more than two single bookings.
